Studiofy (“Studiofy”, “we”, “us”) provides a property-management system for independent hotels, hostels, and homestays. This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices and rights you have. It applies to our marketing site and to the Studiofy application.
Who we are
Studiofy is the data controller for the account and marketing information described below. When you use Studiofy to manage your property, you are the data controller for your guests' information, and Studiofy acts as your data processor — handling that information only on your instructions and as described in our Terms of Service.
Information we collect
We collect information in three ways: information you give us, information about your guests that you enter into the product, and information collected automatically when you use our services.
- Account information — your name, work email, password, property name, role, and organization details.
- Guest and reservation data — guest names, contact details, stay dates, room assignments, and booking notes that you or your staff enter to run your property.
- Billing information — subscription plan, invoices, and payment status. Card details are handled by our payment processor and are never stored on Studiofy's servers.
- Usage and device data — log data, IP address, browser type, pages viewed, and actions taken, used to keep the service secure and to improve it.
- Communications — messages you send us through contact forms, support requests, or email.
How we use information
- To provide, maintain, and secure the Studiofy application and your account.
- To process reservations, calendars, rates, and channel connections on your behalf.
- To bill your subscription and send service, security, and transactional notices.
- To respond to your enquiries and provide customer support.
- To detect, prevent, and investigate fraud, abuse, and security incidents.
- To understand how the product is used so we can improve it, using aggregated or de-identified data wherever possible.
Legal bases for processing
Where the EU/UK GDPR or comparable laws apply, we rely on the following legal bases: performance of our contract with you (to deliver the service you signed up for); our legitimate interests (to secure, support, and improve the product); your consent (for non-essential cookies and marketing); and compliance with legal obligations (such as tax and accounting rules).
How we share information
We do not sell your personal information. We share it only as needed to operate the service:
- Service providers — hosting, database, email delivery, analytics, and payment processing partners who act on our instructions under contract.
- Channel connections — when you connect an external channel (for example an iCal calendar link), availability data is exchanged with that channel at your direction. Guest details and prices are not shared over iCal sync.
- Legal and safety — when required by law, to enforce our agreements, or to protect the rights, property, or safety of Studiofy, our customers, or the public.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to the protections in this policy.
Data retention
We keep personal information for as long as your account is active and as needed to provide the service, then for the period required to meet our legal, accounting, and reporting obligations. You can ask us to delete your account data, subject to those obligations.
International transfers
Studiofy may process and store information in countries other than your own. Where we transfer personal information across borders, we use appropriate safeguards — such as standard contractual clauses — to protect it in line with applicable law.
Security
We protect your data with role-based access controls, tenant isolation so each property's data is separated, encryption in transit, and an audit trail on record changes. No system is perfectly secure, but we work continuously to safeguard the information you entrust to us.
Your rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us at privacy@studiofy.co. You also have the right to lodge a complaint with your local data-protection authority.
Cookies
We use essential cookies to run the site and keep you signed in, and — with your consent — analytics cookies to understand how the marketing site is used. You can accept or decline non-essential cookies using the banner shown on your first visit, and change your choice at any time by clearing your browser storage.
Children's privacy
Studiofy is a business tool and is not directed to children. We do not knowingly collect personal information from children under 16.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you through the product or by email.
